ACADEMIC STAFF - ACADEMIC PROMOTION - ROUND OPEN


Further to the announcement in the Monash Insider, the Academic Promotion round is now open.

If you are applying for promotion, please ensure you allow sufficient time for your performance supervisor and Head of Unit to complete their sections of the Case for Promotion form.

You are strongly encouraged to make an appointment to meet with the relevant Deputy Dean of Education or
Research to discuss your application prior to submission.

It is recommended that you email your completed application to your performance supervisor and Head of Unit / School / Department by 11 May 2018. Your application should include all supporting documentation.
Please only upload your final application into the Academic Promotion system once all supporting documentation and your performance supervisor’s and Head of Unit approval has been obtained. Your completed application, including all required documents attached, must be uploaded via the “apply now” icon on the Academic Promotion website by no later than the 1 June 2018 (at 5.00pm).

Programs - Supporting Parents and Carers

As part of the University’s ongoing commitment to diversity and inclusion, Monash HR has implemented a range of policies, programs and initiatives designed to support staff with parental and caring responsibilities.

Support for parents and carers is critical to the University's ability to attract and retain talented staff. This includes equipping managers and supervisors to effectively support staff with caring responsibilities and those who work flexibly. There are a number of tailored programs for staff before and after parental leave, new fathers as well as managers and supervisors.

The Working Parent Resilience Program
Date: Tuesday 1 August, 9.30am - 4.30pm
Audience: All staff who are parents or carers
Cost: $270

Manager Training for Flexible Workforces
Date: Tuesday 15 August, 9am - 1pm
Audience: Managers and supervisors of staff who work flexibly
Cost: $200

Managing Transition to Parental Leave
Date: 
Wednesday 18 October, 1pm - 3.30pm
Audience: Expectant mothers (academic and professional)
Cost: $220

Returning from parental leave (Academic staff)
Date: 
Wednesday 1 November, 9.30am - 12pm
Audience: Academic staff

myPlan performance development

All staff are encouraged to log in to myPlan, our new and improved performance development system, to set your goals and objectives for the year ahead.
Collaboration is vital for success and achieving excellence at Monash. myPlan facilitates regular conversations and an opportunity to receive important feedback on your achievements. Monash’s commitment to performance development is guided by the principles of growth, feedback and accountability.

Please complete your myPlan goals as soon as possible.

Performance development supports all facets of our work at Monash; ongoing learning and continuous improvement drive innovation and increased work satisfaction. All professional and academic staff from HEW Levels 1 to 10 should complete a performance plan.

You can access myPlan through the my.monash portal by clicking on the myPlan link located on the HR, OHS and employment tile.

Casual Timesheet Submission and Approval Deadlines for Final Pay of 2016

As we approach the end-of-year closedown period (the last day of work is Wednesday 21st December 2016 and the first day back is Tuesday 3rd January 2017), we remind employees and supervisors to make sure all staff timesheets are submitted and approved to ensure staff payment prior to closedown.

Employees have been advised to submit timesheets via ESS and PDF by 11:00 am on Wednesday 14th December 2016, and to then inform their supervisor to approve their timesheets.

Supervisors will need to log into ESS between 12:00 midday and 2:00 pm on Wednesday 14th December 2016 to approve any outstanding timesheets. It is imperative that the supervisor approves before 2:00 pm so that the final approver can login between 2:00 pm and 4:00 pm to make the final submission.

If a supervisor will be away or have limited internet access on this date, they may wish to organise with their Timesheet Administrator (in SCS these are the Head of Department PAs) for an alternative person to approve during their absence. For this end-of-year payment, if your staff's timesheets are not approved, they will not be escalated to the final approval.

The final pay for 2016 will be Saturday 17th December 2016.

First pay of 2017
Any electronic timesheets that are not submitted and approved by this deadline will be processed for payment on Thursday 5th January 2017.

Monash HR will reopen on Tuesday 3rd January 2017.

UNIVERSITY CLOSEDOWN
The University and all university services will be closed from 22 December 2016 - 2 January 2017 (inclusive)

RECRUITMENT DEADLINES FOR ADVERTISING OR DIRECT APPOINTMENTS
11am Friday 9 December 2016 - requests must be submitted to your HR Business Partner/HR Adviser prior to this.
Please liaise with Nevasha Wood or Renee Kemp if you have any upcoming recruitment activity for this year to ensure the above deadline will be met.

TIMESHEET DEADLINES
Last pay in 2016 - Saturday 17 December
Electronic timesheets must be approved by 5pm on Monday 12 December

Second last pay in 2016 - Thursday 8 December
Electronic timesheets must be approved by 5pm on Thursday 1 December

Fixed-term and continuing academic staff seeking Promotion to Levels C to E

Further to the announcement in the Monash Insider last week that the Academic Promotion Round is now open, as the Senior HR Business Partner, I would like to provide some further information for staff intending to apply this year.

If you have not already done so, please make the necessary arrangements with your performance supervisor, Head of Department and Head of School, ensuring that they have adequate time to complete their sections of the Case for Promotion form by the due date.

You are strongly encouraged to make an appointment to meet with the relevant Associate Deans to discuss your application.

Internal Faculty Deadlines
  • By Friday 1st July 2016 (at 5.00pm) your completed application and all required documents must be uploaded electronically online via the “apply now” icon on the Academic Promotion web page.
  • Unless other arrangements have been made, it is recommended that you e-mail your completed application to your Head of School, Professor Eric Morand by Friday 10th of June 2016.  Your application should include all supporting documentation and your performance supervisor’s approval.
 NB:  You should not upload your application into the Academic Promotion system until the relevant sections have been approved by your Performance Supervisor and Head of Unit/School.

Outside Study Programme (OSP) – Round Open

The Faculty is now accepting Outside Study Programme (OSP) applications for semester 1 and 2, 2017.  

For full details of the OSP process, including details on eligibility, guidelines for completing the application form, the committee review process, as well as reporting requirements when returning from OSP, please refer to the Outside Study Programme Procedure.

Submitting your OSP Application:
·        Applicants are strongly encouraged to discuss their OSP application with their performance supervisor prior to making a submission.
·        Applications are to be submitted on-line via Recruitment Express Rex. Please select the appropriate Faculty application form from the list provided.
·        Please note that applicants are no longer required to obtain performance supervisor and Head of Unit/Department/School formal sign off prior to submitting their OSP application. Instead, OSP Coordinators, based in Monash HR, will forward applications for the relevant approvals on your behalf.

HR update - Employee Assistance and public holiday information

New Employee Assistance Provider for the University

Effective from February 2016, the University has engaged a new Employee Assistance Provider – Davidson Trahaire Corpsych (DTC). Please note the new phone number: 1300 360 364.
DTC provides access to free confidential, professional counselling and support for all Monash University staff and their immediate family members. Staff and their immediate family members can access up to six sessions per issue the staff member or immediate family member requires assistance with.
The updated procedure is available on the HR website at HR Policy and Procedures and includes phone numbers and services that DTC provide.
The previous provider only provided three free sessions to staff during their employment, whereas DTC now provides six free sessions PER ISSUE which is very generous to staff.

University Public Holidays

The next Public Holidays observed by the University are:
· Monday 25th April (ANZAC Day)
· Friday 30th September (Grand Final Friday)
· Monday 26th December (Boxing Day)
· Tuesday 27th December (in lieu of Christmas Day)

Please note that Queen’s Birthday (13th June) and Melbourne Cup (1st November) are not University holidays.
